Reporting Requirements and Dates:
For ASRIP, SEGP and SRI awards, please allow 9 months from the ministry’s initial award notification for the project’s budget finalization. If additional time is required, a written request with a plan for the budget finalization is required.
Projects are required to provide the following types of reports:

Annual Financial Reports – to be provided during project implementation and continuing up to and including the year of project completion; and

Outcomes Reports following project completion.
These reporting requirements and dates apply to projects approved under all Alberta Science and Research Investments Program projects (RI), (IS), (ERATT), (SAP) and (PT); Small Equipment Grants Program (SEGP) projects; Strategic Research Initiatives (SRI) projects; and Science and Research Fund (S&R) projects.
Financial Reports
All projects approved under ASRIP, SEGP & SRI competitions must provide regular financial reports that provide an update on the status of the project and account for expenditures of proceeds from the research grant. Annual financial reports are to be submitted utilizing the Financial Accountability Form.

Unless otherwise specified in the project grant agreement, annual reports are to be submitted by September 15th outlining project revenues and expenditures over the course of the project, up to and including March 31st of the reporting year. For a limited number of projects, variations from the standard reporting period and date are outlined in the grant agreements.

Final Financial Report – No later than six months after the completion of the project, the recipient shall provide a final report, accounting for all project revenues and expenditures. This report must also include a concise summary of what the project has achieved.
Outcomes Reports
All projects approved under Advanced Education and Technology competitions must provide one or more outcomes reports, according to the outcomes reporting templates provided. Unless otherwise specified in the project grant agreement, outcomes reporting requirements and timing are as follows:

For all projects, an outcomes report is required one year after the end of the project end date (as defined in the grant agreement).

For projects with a total project cost over $10,000,000, a second outcomes report is required two years after the project end date (i.e., one year following the first outcomes report).

During the project term and for a period of three years thereafter, additional follow-up information, as may reasonably be requested for the purpose of evaluating the project, may be required.
Please note the following:
Changes to projects and/or extensions to reporting deadlines require formal approval from the University Research and Strategic Investments (URSI) branch of Innovation and Science. In such instances, please note the following:

Any requests for extensions to the reporting deadlines outlined in this Guide or in grant agreements require written approval from URSI. Such requests must be submitted 3 weeks prior to the due date of the next report if no payment is pending, 3 months notice if payment is pending.

URSI must be notified of any significant changes to projects or to planned program expenditures. Notifications/requests must be submitted one month prior to the due date of the next due report.

On a case by case basis, URSI will consider requests to retain residual funds, including interest earned, for expenses related to the original project scope. Such requests must be received at least one month prior to the expiration of the grant agreement and must include a proposed expenditure plan and accompanying rationale.

In order to assess and report on the progress and impact of Advanced Education & Technology (formerly Innovation and Science) grant programs, excerpts of the information provided in financial and outcome reports may be utilized in public documents. As such, we request that financial accountability reports be submitted in hard copy and the outcomes reports be received in either hard copy or electronic format.
Administration of ASRIP/CFI Awards
Generally, our program will adhere to CFI guidelines for pre-and post-award rules. However, URSI requires the submission of formal written requests for any changes to projects that do not fall within the parameters of ASRIP and/or CFI guidelines. URSI will assess any such requests on a case-by-case basis. For ASRIP/CFI cost-shared projects, we will accept the CFI Annual Financial Report with an itemized list of expenditures in lieu of an ASRIP financial form. For our records, we require a copy of the CFI Award Agreement.
